Notification of APOS BI Tools Updates

In response to requests from APOS BI Tools
customers, we're pleased to announce the
availability of a new notification service.
If you own a license for an APOS BI Tool,
with software maintenance currently in
force, you can now request an email whenever
a new version or bug fix is available for
the APOS BI Tool that you own. Whenever we
post a new version or bug fix on our
downloads page for your APOS BI Tool, you
will receive an email notification with a
url link to the relevant release notes.
This allows you to assess if the update is
of interest to you and consider the benefits
of upgrading your system, with this new
version. Please consider giving it a try and
let us know if you have suggestions for
improvement - we want this service to be a
useful tool for our customers to stay
informed.

Background:
As the largest independent office
products dealer in Canada,
Basics Office Products is the
industry leader in customer
satisfaction through account set-up,
maintenance and fulfillment. With
230 employees, 6,000 stock items,
and a 98.8% fill rate, Basics Office
Products is keenly aware of the
needs of its many commercial
customers-the company is very strong
in a number of vertical business
segments from the automotive
industry to institutional
organizations. A key factor of
Basics Office Products’ success is
its outstanding response to customer
needs.
Challenge:
•
Restructure the legacy system to
improve the content, quality and
accessibility of reports
•
Focus on a future predictive model
Basics Office Products succeeds
because its customers know that they
can get delivery the next day. But
with growth comes greater
complexity: managing personnel,
managing stock, catering to special
customer needs. Clearly, its
forward-thinking management team
realized that the company simply
could not tolerate delays or miscues
and that its present legacy system
would not let it sustain its
outstanding responsiveness.
Management was eager for a vastly
improved reporting solution. And
management has also sets its sight
on developing a predictive model
that will allow it to manage its
personnel in ways that will minimize operational
risks. That is, Basics recognizes
the importance of the link between
outstanding customer responsiveness
and the different facets of business
intelligence technologies.
Solution:
Research told Basics that Crystal
Enterprise offered the solution they
needed. To make the process more
effective, Frank Klatecki set up a
team to draw upon different
knowledge and skill sets-Judy Wiens,
who as Director of Finance brought a
tremendous amount of knowledge of
the legacy system and Matt Brem, a
VB programming expert from the
Information Technology group.
Together, this team began to scope
out the problems.
“We certainly have data. But our
ability to access the wealth of data
in our legacy systems was not as
transparent as we wanted it to be,”
said Mr. Klatecki. “So we chose
the Crystal Enterprise platform and
Crystal Reports to transform this
data into a vastly improved delivery
and reporting solution. Of course,
we faced many hurdles in this
migration, not only in extracting
the data from the legacy systems,
but also in harnessing the
sophisticated features of Crystal
Enterprise and Crystal Report. So,
it made sense then to work with
consultants who were recognized to
be Crystal experts,”
he added.
Basics chose APOS Systems Inc. as
their technology partner to
implement the Crystal solution.
APOS’ role centred on three areas:

Implement the Crystal
infrastructure
•
Help make the critical database
run more efficiently
•
Create and develop various Crystal
reports
But the relationship has blossomed
into an unusual one.
“We are developing our forward
progress by bringing in an APOS
consultant for a day at a time,
working through a real-world
scenario that we’ve been grappling
with, and essentially letting him
facilitate the solution. It works
very well, and we are so pleased
that APOS accommodates this
arrangement,”
said Mr. Klatecki.
Results:

Provide Basics’ Business
Development Team with reports that
they can customize

Offer improved service for
commercial customers
Basics have exposed information in
new ways to various people,
including customers. As Mr. Klatecki
said:
“We are not generating as many new
variations of reports as we once
did, reducing time and costs. Our
Business Development Group can
access 40 different reports,
export them to Excel for
any individual sorting and filtering
requirements.
And we can now provide our customers
with customized reports, eliminating
their need to micromanage their
supplies.”
Basics are now focusing on a
real-time, predictive model and
again plan to engage APOS in
developing the correct solution.
“I’m looking towards the future and
that is why I appreciate that APOS
is so patient with us. I want
to develop a dashboard with the
metrics that senior management
needs. This will also allows us to more effectively
manage critical personnel in our
warehouse and on the retail floor,”
said Frank Klatecki.
