Case Study - Mental Health Care Provider, South Carolina *APOS helps meet HIPAA needs

"In three projects, we have saved a conservative estimate of 100 to 150 hours. The APOS Object Manager tool has definitely helped with productivity because it saves time when making administrative changes."

…Dianne Dawson, Reporting Manager, Mental Health Care Provider

APOS BI Tools Used:
Object Manager, KPI for Business Objects XI R2.

Background:
From its establishment almost 200 years ago, this mental health care provider has achieved an impressive record in its efforts to meet the needs of mentally ill citizens. They are committed to eliminating stigma and promoting the philosophy of recovery.

Challenge:
The reporting department is focused on providing real time data to the users in the field. This enables them to analyze and use the data to better service clients on a one-to-one basis. They are also continually looking for ways to more efficiently run the business; all while meeting the Health Insurance Portability and Accountability Act (HIPAA) requirements to comply with the national standards with regards to the use of electronic data interchange.

This mental health provider was using BusinessObjects Enterprise XIR2. Although BusinessObjects Enterprise does a good job of deploying enhancements for users, there were some challenges on the administrative side.

Solution:
Dianne Dawson, the Reporting Manager, contacted APOS Systems for an administrative solution. She utilized the evaluation version of APOS Object Manager Tool and the APOS KPI tool. The evaluation period ensured that they were considering tools that would ultimately solve their issues before purchasing.

Object Manager enables them to globally modify reports rather than going into each report individually. Dianne recalls one project where they had 300 reports that needed updates to the data source. "Instead of going through each report to make the updates, we used Object Manager. I indicated the required changes and within minutes all reports were updated. When you have several thousand reports in the enterprise system, you can appreciate the time and frustration that is saved." Dianne continued.

During the evaluation period of the APOS KPI tool, the health provider was able to get a schema of their Business Views. BusinessObjects Enterprise doesn’t enable Business Views documentation and if there is a situation where the server crashed, the views would have to be recreated. KPI provides documentation of exactly how the Business Views were created. "We have almost 40 Business Views that we work with. To recreate the views by memory would be an overwhelming task," states Dianne. "The APOS KPI tool is also very significant because it will afford us the capability to track which users are accessing which reports, how many times and when. This is very significant for a government agency providing healthcare under HIPAA compliance regulations."

Why APOS?
"APOS Systems is a Business Objects partner and their software melds seamlessly with BusinessObjects Enterprise. That is why I looked at their products. When I talked to an APOS representative – I knew they were a company that I wanted to do Business with," Dianne declared.
